Refund Policy

PrimePath Solutions ("Company," "we," "us," or "our") is committed to providing high-quality event planning services and maintaining transparent, fair business practices with every client. This Refund Policy explains the circumstances under which refunds may be issued, the process for requesting a refund, and the timeline for refund processing. By engaging our services, you acknowledge and agree to the terms of this Refund Policy.

1. Consultation Fees

Initial consultations with PrimePath Solutions are offered free of charge and are not subject to any refund policy. In cases where a specialized extended consultation or planning assessment is provided for a fee, that fee is non-refundable once the consultation has been completed. If a paid consultation is cancelled by the client more than 48 hours in advance, a full refund of the consultation fee will be issued. Cancellations made within 48 hours of a scheduled paid consultation are not eligible for a refund. If PrimePath Solutions cancels a paid consultation, a full refund will be issued within 5 business days.

2. Deposits

All service agreements require a deposit to reserve your event date and initiate the planning process. Deposits paid to PrimePath Solutions are strictly non-refundable under all circumstances. This policy exists because the deposit compensates us for reserving your event date — which prevents us from accepting other clients for that date — and for the planning work we begin immediately upon receiving your deposit, including initial vendor outreach, venue research, and timeline development. The deposit amount and payment schedule will be specified in your signed service agreement. By paying a deposit, you acknowledge and accept that it is non-refundable regardless of the reason for cancellation.

3. Event Planning Service Fees

Refund eligibility for event planning service fees beyond the initial deposit is determined by the timing of the cancellation relative to the event date and the amount of planning work already completed at the time of cancellation. The following schedule applies:

  • More than 180 days before the event: Up to 50% of fees paid beyond the deposit may be refunded, less the value of any non-recoverable expenses already incurred on your behalf.
  • 91 to 180 days before the event: Up to 25% of fees paid beyond the deposit may be refunded, less non-recoverable expenses.
  • 31 to 90 days before the event: No refund of service fees will be issued. All fees paid are forfeited.
  • 30 days or fewer before the event: No refund of any kind will be issued. All fees and vendor payments made on your behalf are forfeited.

The refund amounts described above represent the maximum possible refund. Actual refund amounts may be lower depending on non-recoverable expenses already incurred at the time of cancellation request.

4. Cancellation Requests

All cancellation requests must be submitted in writing to PrimePath Solutions via email at billyfarmer8476@yahoo.com or by certified mail to our office at 19 Spruce St, Buffalo, WV 25033. Verbal cancellations are not accepted and will not be processed. The effective cancellation date is the date on which we receive your written cancellation notice, not the date on which it was sent. Upon receiving a cancellation request, we will acknowledge receipt within two business days and provide a written summary of any applicable refund amount and the timeline for processing.

5. Rescheduling

We understand that circumstances can change and sometimes event dates need to be moved. Rescheduling requests must be submitted in writing as early as possible. We will make every reasonable effort to accommodate your new date based on our availability. Rescheduling is not treated as a cancellation provided the event proceeds within a reasonable timeframe. A rescheduling fee may apply depending on how much advance notice is provided and the amount of work that must be repeated due to the date change. If we are unable to accommodate your new preferred date, you will have the option to cancel subject to our standard cancellation and refund policy. Deposits are not transferable to a rescheduled date more than 12 months after the original event date.

6. Vendor Payments

In many cases, PrimePath Solutions collects payments from clients and disburses funds to vendors on the client's behalf. Vendor payments that have already been made at the time of cancellation are subject to each individual vendor's own refund and cancellation policies. We will make every reasonable effort to recover vendor payments on your behalf, but we cannot guarantee that vendor refunds will be available. Any vendor refunds recovered will be passed directly to you, less any applicable processing or administrative fees. We are not responsible for vendor deposits or payments that are non-refundable under vendor contracts.

7. Non-Refundable Expenses

Certain expenses incurred during the planning process are non-refundable regardless of when a cancellation occurs. These include but are not limited to: venue booking fees, vendor deposits paid on your behalf, permit and licensing fees, design and printing costs for custom materials, travel expenses incurred for site visits or vendor meetings, and any other out-of-pocket expenses specifically incurred for your event. We will document all such expenses and provide you with a detailed accounting upon request. These expenses will be deducted from any refund calculation.

8. Partial Refund Situations

In addition to the standard cancellation schedule, partial refunds may be considered on a case-by-case basis in the following circumstances: significant failure of service delivery by PrimePath Solutions that is directly attributable to our negligence; material breach of the service agreement by PrimePath Solutions; or mutual agreement between both parties to terminate the service agreement due to circumstances beyond either party's control. Requests for partial refunds based on service concerns must be submitted in writing within 14 days of the event date and must include a detailed description of the service failure. We take all such complaints seriously and will investigate thoroughly before making a determination.

9. Force Majeure Events

A force majeure event is an extraordinary circumstance beyond the reasonable control of either party that prevents the event from taking place as planned. Examples include natural disasters, government-mandated event restrictions, pandemics, extreme weather events, or other circumstances that make it impossible to hold the event safely or legally. In the event of a qualifying force majeure event, PrimePath Solutions will work with you in good faith to reschedule your event at no additional planning fee. If rescheduling is not possible, we will refund all fees paid beyond the deposit and any non-recoverable vendor expenses. Force majeure claims must be documented and submitted to us in writing. We reserve the right to evaluate each force majeure claim individually.

10. Refund Processing Times

Approved refunds will be processed within 10 to 15 business days of the date on which the refund is approved and all required documentation has been received. Refunds will be issued using the same payment method used for the original payment where possible. If the original payment method is no longer available, we will work with you to arrange an alternative refund method. We will provide written confirmation of the refund amount and expected processing timeline within 5 business days of approving a refund request.

11. Customer Communication

We believe in open, honest communication with every client, especially in difficult situations like cancellations or disputes. If you have concerns about our services, a billing discrepancy, or a refund request, please contact us directly before taking any other action. We are a small, locally owned business and we genuinely care about resolving issues fairly and promptly. Most concerns can be addressed quickly through a simple conversation. We are committed to treating every client with respect and professionalism, and we ask the same in return.
